Terms and Conditions

 

1. Introduction


Welcome to Cosplay-Eh!TM (the “Event”). By registering abd attending the Event, you agree to comply with the following terms and conditions. These terms are subject to change at any time without notice.

Words like ‘participant, ‘applicant’, and ‘competitor’ will refer to you – the person who will register to compete in Cosplay-Eh!TM  . Conversely, ‘our’, ‘us’, ‘we’, ‘staff’, and similar terms will indicate the organizers of Cosplay-Eh!TM.

 

2. Tickets


  • All participants of Cosplay-Eh!TM must hold a valid ticket to the Selections host event they are competing it.


3. Event Entry


  • Entry to the event may be subject to security checks.

  • No weapons, illegal substances, or items deemed dangerous by security personnel are allowed.

  • Attendees must follow all instructions from event staff.


4. Behaviour


  • Respectful behaviour towards other competitor, host event attendees, staff, and guests is mandatory.

  • Harassment, discrimination, or any form of abusive behaviour will not be tolerated.

  • Participants violating this policy may be removed from the event without a refund.


5. Costumes and Props


Outside of official Cosplay-Eh!TM  activities, costume and hand-held accessories/props are subject to the rules of the hosting event.

  • Costumes must be fabricated by the contestants themselves, and entrants will be required to give an account of how they made all details of their costume if requested. Store-bought and modified store-bought costumes or retail clothes are not allowed.

  • The costume may have participated in other costume competitions (except Cosplay-Eh!TM  Selections and Final or costumes that have already won major awards at international-level competitions ie WCS, Polymanga, Art to Play etc…)

  • Contestants are allowed to compete in the Final with the same costume they qualified with, but not a costume they’ve participated with in an earlier edition of the Cosplay-Eh!TM  Selections or Final.

  • Costumes must be finished by the time the contestant arrives at the venue. Repairs to any damage from travelling is allowed after arriving.

  • Realistic props or replica weapons are allowed only on stage and during official Cosplay-Eh!TM  activities. They must be stored safely in areas designated by event staff during all other times. When carried to and from stage and photoshoots, such props should be handled by designated staff (such as Weapon’s & Accessories Master if the hosting event has one).


6. Character


  • The character presented must be a fictional character from a published source. Published pictures of the character must exist for judges’ reference. Original designs and characters are not allowed.

  • It is strongly recommended that the character is part of an established story/narrative with visual support. If a character is based only on an illustration, painting, written description or the likes and doesn’t have existing visuals, backstory and/or personality, the judges will be limited in their assessment of the workmanship and/or performance.

  • Genderbend versions or gjinka/human versions of a character are not permitted if this representation of the character is not part of the original published source.


7. Photography and Videography


  • By entering the event and its surrounding areas, and by your presence at Cosplay-Eh!TM, you understand and consent to be photographed, filmed and/or otherwise recorded. Your entry constitutes your consent to such photography, filming and/or recording and to any use, in all media throughout the universe in perpetuity, of your appearance, voice and name for any purpose whatsoever in connection with any production taking place within the convention.

  • When photographing or filming individuals or small groups, please ask the convention attendee(s) for their consent before capturing their image.

  • When photographing or recording minors, please ask a parent, guardian, or chaperone for permission and let them know where the photo will be located.

  • Photography and recordings may not be permitted during certain parts of the event. If you are unsure whether photography or videography are allowed during a particular event or in a particular area, ask permission from Csoplay-Eh!TM staff first.

  • The host event reserves the right to prohibit photography and/or videotaping of any event or area.

  • Cosplay-Eh!TM staff may ask to review and/or demand deletion of any unauthorized photographs or video recordings.

 

8. Limitation of Liability


  • To the fullest extent permitted by the applicable law, Cosplay-Eh!TM  excludes: (a) all liability for loss, injury or damage to persons or property at the host Event; (b) all indemnities, warranties, representations (whether express or implied); and (c) any actual or alleged indirect loss or consequential loss, any loss of profits, anticipated profits, savings, loss of business revenue, loss of business, loss of opportunity, loss of goodwill, or any other type of economic loss, suffered by you howsoever arising. If Cosplay-Eh!TM . is liable to you for any reason, Cosplay-Eh!TM’s total liability to you in relation to the host Event (whether under these terms or conditions or otherwise) is limited to the amount of your fees received by the host event.

 

9. Changes or Cancellation of the Event


  • Cosplay-Eh!TM  and the host event reserve the right to make changes to the event schedule, guests, and programming without prior notice.

  • Cosplay-Eh!TM  or the host event may cancel a Selection or Final due to any factors or causes not in the control of the issuer.  These factors will be inclusive of, but not limited to, natural disasters, federal/provincial announcements, strikes, delays in production, health crisis and the like. The decision of Cosplay-Eh!TM  and the host event will be considered final.

 

10. Governing Law


  • These terms and conditions shall be governed by and construed in accordance with the laws of Ontario, Canada.

 

DISCLAIMER FOR ACTIVITIES

You should consider carefully whether or not you will be able to participate in any activities offered as part of a programme relating to the Event. Cosplay-Eh!TM warns that some activities may be physically demanding and/or carry inherent dangers. You understand that some exercise-based activities may be a risk to your physical health and safety if you do not perform them correctly. You accept that it is entirely your responsibility to decide whether participation in any activity offered as part of Cosplay-Eh!TM is appropriate to your capabilities, aptitude, fitness and health. If you have any concerns about your capabilities, aptitude, fitness and/or health to participate you should consult with (and follow the recommendations of) a medical professional prior to engaging in any activity. If at any time during any activity you feel unwell or consider that it is unsafe for you to continue, please stop the activity immediately and seek appropriate advice. You also accept that it is entirely your responsibility to observe all health and safety requirements and instructions that you may be given in relation to activities. If you are participating in any activity that is offered virtually for participation in a home or office environment, you should ensure that your environment is safe, provides adequate space and is free of dangerous or hazardous objects and materials.
 
To the extent permitted by applicable law, Cosplay-Eh!TM (as well as any employees or other representatives of the same) exclude all liability for any loss, injury, or damage whatsoever that you may suffer in connection with or arising from your participation in any activities offered as part of the programme (including, without limitation, any activities held outside of, or incidentally to, the main Event that you are attending), whether direct, indirect, consequential, special, incidental or punitive loss, injury or damage (including, without limitation, injury to persons, property damage, theft, loss of profits, loss of business, loss of opportunity, loss of goodwill, loss or corruption of data or any other type of economic loss, injury or damage) or otherwise. The limitations and exclusions in this paragraph only apply to the extent permitted by applicable law.
